Pool & Clubhouse Rentals & Private Parties
BTW is a great place for a private pool party! Rent the pool for a swimming party near Dallas or Plano. Club members can include the clubhouse, or even schedule pool parties during regular swim hours! Details for member rentals are below:

Reservations
We need a volunteer to handle Pool Rentals. Private pool parties must be reserved 14 days in advance. The pool is only available for member rental only. Please print the rental form below, sign it and submit payment/deposit to reserve your party. Parties are not reserved until the rental form and payment is received by BTW S&T.
Private parties may be reserved from:
Tuesday thru Saturday 8:30 p.m. - 12:00 midnight
Sunday 10:00 a.m. - 1:30 pm and 8:30 p.m. - 12:00 midnight
Private Pool Party Fee Schedule
- $250 rental fee to Members only. This fee includes up to 75 member and non-member guests.
- An additional charge of $3/per guest will apply for party with more than 75 people. Additional guest fees are due the day of the party.
- Life Guards are included.
- $250 refundable deposit will also be required.
- If you are pleased with the services of your lifeguards, they would greatly appreciate a tip! ($10 each or whatever you feel appropriate)

Private Party fees do not include the cost of clean up. Cost of clean up will be deducted from the deposit. Any remaining amount will be refunded as per terms described above.
Rules
1. The Private Party fee, deposit, and signed agreement (this page can be printed) are due in full and payable at least 72 hours prior to the time of the party by Check. Please make the check payable to Bent Tree West Swim & Tennis Club (BTWSTC).
2. A sign-in sheet will be at the front desk for each party. Please advise your guests in advance that they will be required to sign in at the front desk before entering the party. If the head count on the sign-in sheet exceeds the number of people you previously paid for, there will be an additional fee charged for the additional guests according to the party fee schedule.
3. Set-up and clean-up time are included in your reserved party time. Additional time may be given if pre-arranged. If that situation occurs, an additional fee will be charged. There is no access to the main clubhouse allowed at any time unless rental includes the Clubhouse.
4. Storage is provided by the pool for food and drinks, in the refrigerator by the grills. There is an Ice machine in the lifeguard room by the pool. Access of this is obtained through the lifeguards. Paper goods are not provided by the club, so please bring your own.
5. Coolers are permitted; however, please remember that no glass of any kind is allowed in the terrace or pool area. Alcohol is permitted only at adult parties (over 21).
6. DJ's and live music are allowed, however, the volume must be kept at an appropriate level. If there are any complaints, you will be asked to turn the volume down and if not done, the D.J. will be asked to leave. The pool closes regular operation at 8:30 p.m. therefore the D.J. may not set up until 1 hour prior to pool closing.
7. In case of inclement weather, the pool must be cleared for 30 min if there is lightning or thunder.
8. Please be advised that occassionally private one-on-one swim lessons have been reserved well in advance of party reservations. In this case, please understand that we may have a lesson in progress during your party if your party was reserved AFTER the swim lesson was reserved.
I have read, understand and promise to follow these Private Party rules and policies set forth by Bent Tree West Swim and Tennis Club.
I agree to assume all liability for my family, guests and myself without regard to fault while at Bent Tree West Swim and Tennis Club or any of the employees for any complications or injury that may result from my children, my guests and myself while attending the party.
In addition I understand that if I choose to violate any rules or policies, I am also choosing to accept the consequences. I agree to accept responsibility for my actions and those of my guests.

REGULAR POOL PARTY INFORMATION & RULES
Bent Tree West Swim & Tennis Club invites you and your friends to an unforgettable experience! You and your guests will enjoy splashing in our mineral water pool, with plenty of picnic area to celebrate a birthday or team event. To make are reservation, please contact Pool Manager Needed.
Party Reservations
All parties are held during regular pool hours and must be reserved 7 days in advance.
Party Rates
- There is a base rate of $75.00, which includes up to 15 non-member guests. For each additional guest (including adults) there is a $3.00 fee.
- $50 refundable deposit will be required.
- The hosting club member upon arrival must pay this fee for the party at the entrance.
- Children under 3 and current club members are free.
- If you are pleased with the services of your lifeguards, they would greatly appreciate a tip! ($5-10 each or whatever you feel appropriate)
Party Size
- Limited to 50 guests or less because of pool capacity during regular hours. This includes children and adults.
- The host family is not included in this number.
- If you are hosting a party for a team of organization, please be aware that each guest may bring several family members and that they must be included in the total guest count.
Setup
- Members are responsible for set up and clean up.
- Life guard assistance is available, however their primary responsibility is guarding the pool.
- If you need table set up or arrangement help please contact the board in advance so we may assist.
Party Length
Maximum party length is three hours. This includes set-up and clean-up time. Additional time for set up or clean up will be charged against the $50 refundable deposit at $25 per hour.
Rules
1. Only Club members over 21 may reserve a party. A Club member will not be allowed to reserve a party for a non-member.
2. A sign-up sheet will be at the entrance for each party. Please advise your guests in advance that they will be required to sign-in for the party at the entrance. If an entire family is attending, please sign in all members, as we must have an entire head count.
3. All parties must be paid for in advance or at time of the party. Please pay at entrance by cash or check. All non-member guests must be paid for whether or not they swim.
4. Access to the main Clubhouse is not permitted at any time. Food, drinks, cakes, and any other party items may be stored in the refrigerator by the pool. Paper goods, food and drinks are not provided by the club so please bring your own.
5. Coolers are permitted, however, please remember that no glass of any kind is allowed in the pool area and terrace.
6. Please be a considerate Club member and clean up after your party.
7. Please do not bring water balloons. After they break, they end up in the pool and clog up the pool filtration equipment.
8. Lifeguards are provided by the club as part of the regular operation of the pool, however, it is added responsibility and work for the lifeguards when there is a party during pool hours. Please consider this when you have a party and tipping the lifeguards is greatly appreciated.
9. The host of the party is to assume all liability for the guests attending without regard to fault while at Bent Tree West Swim and Tennis Club, and assumes any damage done to the club, by any attending guest of the party.

BENT TREE WEST CLUBHOUSE RENTAL INFORMATION

FEES
Members: $125.00 rental fee for up to 3 hours. Additional time $50 per hour
Non-Members: $200.00 rental fee for 3 hours. Additional time $75 per hour
Recurring Renters Members: rental fee is waived; usage is limited to 1.5 hours.
Recurring Renters Non-Members: Rental fee is to be determined. Usage is limited to 1.5 hours.
- Rental Fee, deposit, and any other fees are to be collected by rental manager at time of contract. All paperwork (signed contract, rental fee and deposit payment) has to be completed at least 24 hours before the rental.
- Folding tables and chairs are available at no charge. A charge will apply for set up and tear down.
- Reoccurring Renters must have specific assigned days and times not to exceed one year.
- Deposits apply to ALL renters with no exceptions
DEPOSITS
Members: $300.00 refundable deposit
Non Members: $500.00 refundable deposit
Recurring Renter Members: $300 deposit held for length of contract
Recurring Renter Non Members: $500 deposit held for length of contract
Renter agrees at the end of the rental time period written in this agreement, the renter will clean the clubhouse and complete the check list below, and turn in with the keys to the rental manager. Clubhouse will be inspected after each rental or recurring rental and assessment fees that apply will be deducted from deposit.
