Pool & Clubhouse Rentals & Private Parties
BTW is a great place for a private pool party! Rent the pool for a swimming party near Dallas or Plano. You can include the clubhouse, or even schedule pool parties during regular swim hours! Details for member rentals are below:
PRIVATE POOL PARTY INFORMATION & RULES
 1. Private pool parties must be
reserved 14 days in advance by calling Zeke Heninger, 972/250-6313.
2. Private parties may be reserved from:
Tuesday thru Saturday - 8:30 p.m. - 12:00 midnight
Sunday - 11:00 a.m. - 1:00 pm and 8:30 p.m. - 12:00 midnight
3. Private party fee schedule:
Less than 40 people - $125.00
41 - 60 people - $175.00
61 - 80 people - $ 225.00
81 - 100 people - $275.00
4. The Private Party fee includes the presence and cost of lifeguards as required by club rules. The number of lifeguards required for a party depends upon the number of people at the party. It is added responsibility and work for the lifeguards when there is a private pool party. Please consider this when you have a party and tip each lifeguard after the party. A minimum of $5.00 per guard is a suggestion.
5. The Private Party fee and signed agreement (this page can be printed) are due in full and payable at least 24 hours prior to the time of the party. Cash or check is acceptable. Please make the check payable to Bent Tree West and leave it at Guard Table, or Tracy LeBlanc.
6. A sign-in sheet will be at the front desk for each party. Please advise your guests in advance that they will be required to sign in at the front desk before entering the party. If the head count on the sign-in sheet exceeds the number of people you previously paid for, there will be an additional fee charged for the additional guests according to the party fee schedule.
7. Set-up and clean-up time are included in your reserved party time. Additional time will not be given for set up or clean up. If that situation occurs, an additional fee will be charged for overtime paid to the lifeguards.
8. There is no access to the main clubhouse allowed at any time. There will be no excuses as the clubhouse is not part of this rental agreement.
9. Storage is provided by the pool for food and drinks, in the refrigerator by the grills. There is an Ice machine in the lifeguard room by the pool. Access of this is obtained through the lifeguards. Paper goods are not provided by the club, so please bring your own.
10. Coolers are permitted; however, please remember that no glass of any kind is allowed in the terrace or pool area. Alcohol is permitted only at adult parties (over 21).
11. Complete restroom facilities are available outside by the pool area. Access to the main clubhouse is not needed for this purpose.
12. D.J.'s are allowed, however, the volume must be kept at an appropriate level. If there are any complaints, you will be asked to turn the volume down and if not done, the D.J. will be asked to leave. The pool closes regular operation at 8:30 p.m. therefore the D.J. may not set up until after 8:30 p.m.

I agree to assume all liability for my family, guests and myself without regard to fault while at Bent Tree West Swim and Tennis Club or any of the employees for any complications or injury that may result from my children, my guests and myself while attending the party.
In addition I understand that if I choose to violate any rules or policies, I am also choosing to accept the consequences. I agree to accept responsibility for my actions and those of my guests.

REGULAR POOL PARTY INFORMATION & RULES
 1. Please note that all parties at the pool held during regular pool hours must be reserved 7 days in advance by calling
Zeke Heninger, 972/250-6313
2. All parties will be restricted in size and time.
- Size – limited to 50 guests or less. This includes children and adults. The host family is not included in this number. If you are hosting a party for a team of organization, please be aware that each guest may bring several family members and that they must be included in the total guest count.
- Party time length – maximum party time length is three hours. This includes set-up and clean-up time. Additional time will not be given for set up or clean up.
3. Base party cost – There is a $35.00 fee charged for all parties of 25 or less.
Please add $35 for parties 26 to 50 people, reserved during regular pool hours. The hosting club member upon arrival must pay this fee for the party at the entrance. (Guard Table)
Guest fees: Below is a table for non-members guest fees in addition to the base party cost. All non-member guests fees may be collected by the host of the party before the party or allow each guest to pay the fee at the door. There is no charge for current club members to attend:
Children under 2 – FREE
Children (12 and under) - $3
Adults - $5
There is no charge for current club members to attend.
4. Only Club members over 21 may reserve a party. A Club member will not be allowed to reserve a party for a non-member.
5. A sign-up sheet will be at the front desk for each party. Please advise your guests in advance that they will be required to sign-in for the party at Guard Table. If an entire family is attending, please sign in all members, as we must have an entire head count.
6. All parties must be paid for in advance or at time of the party. Please pay at the front desk by cash or check. All non-member guests must be paid for whether or not they swim.
7. Access to the main Clubhouse is not permitted at any time. Food, drinks, cakes, and any other party items may be stored in the refrigerator by the pool. Paper goods, food and drinks are not provided by the club so please bring your own.
8. Coolers are permitted, however, please remember that no glass of any kind is allowed in the pool area and terrace.
9. Please be a considerate Club member and clean up after your party.
10. Please do not bring water balloons. After they break, they end up in the pool and clog up the pool filtration equipment. Water guns are acceptable, as long as the rules for water guns are followed.
11. Lifeguards are provided by the club as part of the regular operation of the pool, however, it is added responsibility and work for the lifeguards when there is a party during pool hours. Please consider this when you have a party and tip the lifeguards. A minimum of $5.00 per guard is a suggestion.
12. The host of the party is to assume all liability for the guests attending without regard to fault while at Bent Tree West Swim and Tennis Club, and assumes any damage done to the club, by any attending guest of the party.

BENT TREE WEST CLUBHOUSE RENTAL INFORMATION
The BTW Clubhouse is a great community facility for members to be used for meetings and parties. Consider a social membership if you would like to meet on a regular basis!
 1. Rental availability can be obtained by calling Zeke Heninger, 972/250-6313.
2. Rental fee schedule:
- Before 6:00 p.m - $125.00 With a $125.00 deposit
- After 6:00 p.m - $175.00
With a $175.00 deposit
3. Rental of facility is secured and reserved after receipt by the Pool manager of signed contract, rental fee and deposit. Fee and deposit can be paid by check payable to Bent Tree West Swim and Tennis Club or cash and returned to Lifeguard table, Tracy LeBlanc.
4. Deposit will be refunded after the date of rental and clubhouse has been checked for cleanliness and damages. Required clean-up is as follows:
- Vacuum, sweep, and mop floors
- Dust, clean glass tops on furniture
- Clean bathrooms
- Clean kitchen
- Remove all trash (kitchen and bathrooms)
- Place all furniture where it was originally
- Turn out lights, stove, and oven
 5. Clubhouse rental does not include use of the pool or pool area. Door to the pool area MUST remain locked at all times.
6. Rental of party machines such as margarita machines is allowed only inside clubhouse or outside in front of the clubhouse. No access is allowed to the pool area. Smoking is permitted outside only.
7. No candles or any other burning material is allowed in the clubhouse. Smoking is permitted outside only.
8. Clubhouse capacity is 50 people only.
9. Only members of Bent Tree West Swim and Tennis club may rent the Clubhouse.
